Booking Terms & Conditions

These Terms set out the conditions for booking our tours, experiences and transfer services. Please read them before you book. Cancellation conditions differ from product to product — please also check the details shown on each product page.

1.Scope

These Terms apply to bookings made directly with Takahashi Real Estate Management Co., Ltd. (brand name: Hokkaido Luxury Trip; "we", "us", "our") through our website, including our booking system, for the tours, experiences, transfers and other services we operate. By completing the booking process, you agree that these Terms form part of your booking contract. For bookings made through third-party platforms (GetYourGuide, Airbnb, etc.), booking, cancellation, refunds and dispute resolution are governed by that platform's terms and policies; these Terms apply only to the rules of participation during the experience (Articles 5 to 10).

2.Booking and payment

Your booking is confirmed once payment is completed. All prices include applicable Japanese consumption tax. Before your booking is confirmed, the final confirmation screen shows the product details, number of participants, price, payment method, date and time, and the cancellation conditions.

3.Cancellation and refunds

Cancellation conditions are set for each product and are shown on the product page and on the booking screen. If these Terms and the product page differ, the conditions shown on the product page and at the time of booking prevail. Cancellation fees are based on the average loss we typically incur when a booking of that type is cancelled — including the cost of securing vehicles, drivers and guides, ingredients and admission fees arranged in advance, cancellation charges payable to our partners, and the loss of the opportunity to sell the place to another guest. On request, we will explain the outline of how the cancellation fee was calculated.

4.Changes

Changes to the date, time or content of your booking are subject to availability and must be requested by the deadline stated for each product.

5.Meeting point and punctuality

Please arrive at the designated meeting point at the designated time. Where joining after the start is possible, we will advise you; however, late arrival where you cannot join, and failure to appear without notice (no-show), are subject to the cancellation fee set out in the product's cancellation policy (up to 100% of the price). If the number of participants is reduced on the day, we cannot refund the difference. No refund is given if you leave part-way through for reasons of your own.

6.Special requirements

Please tell us in advance if you have any allergies, dietary requirements, health conditions or mobility needs. We will accommodate requests notified in advance within reason, in coordination with our partners. However, because of the kitchen environments at the venues we visit, we cannot guarantee the complete absence of trace allergen contamination. We may be unable to accommodate matters not notified in advance. For guests with disabilities, we provide reasonable accommodation to the extent it does not impose an undue burden. Even where we cannot meet a request exactly as made, we will discuss alternatives with you — please contact us before booking.

7.Age and accompaniment

Age restrictions apply to some products. Under Japanese law, drinking alcohol and smoking are permitted only for those aged 20 and over — even if a lower age is legal in your country or region, those under 20 may not drink alcohol in Japan. For experiences that include alcohol, we may ask to see photo identification; if age cannot be verified, we will decline to serve alcohol. Guests under 18 must be accompanied by a parent or a responsible adult.

8.Health and safety

Some products involve walking and physical activity. Please tell us in advance if you have a medical condition, are pregnant, or need any consideration, and follow the safety instructions of our guides and staff at all times.

9.Disruptive conduct and exclusion of organised crime groups

If a guest causes harm to other guests, our staff or the venues we visit, engages in seriously disruptive or unlawful behaviour, or otherwise prevents the safe and smooth operation of the experience, and does not correct that behaviour when asked, we may decline further participation where we reasonably consider it inappropriate for the guest to continue. In that case we do not refund the portion of the price corresponding to services already provided. The portion corresponding to services not yet provided will be applied to the costs and losses we actually incur as a result, and any balance will be refunded within a reasonable period (as a rule, within 30 days). You represent and warrant that you are not a member of, and have no close relationship with, any organised crime group or other anti-social force. If this is found not to be the case, we may cancel your booking or decline participation without notice.

10.Photography and video

We may take photographs or video during the experience for safety management and record-keeping. We will use photographs or video in which you are personally identifiable for our promotion or advertising (website, social media, etc.) only with your prior consent. You may withdraw that consent at any time; after withdrawal we will make no new use and will promptly remove existing material within reason. If you prefer not to be photographed or to appear in photographs at all, please tell a guide or staff member at any time.

11.Weather and operating decisions

Our tours operate as a rule in rain and snow. Given Hokkaido's climate, changing weather is a normal part of the experience; please understand that some rain, snow and cold are to be expected.

Whether an experience operates is determined by us, based on safety criteria. Where we determine that the experience can operate, a cancellation by you on the grounds of weather is treated as a cancellation for your own convenience, and the product's cancellation policy applies.

We may change part of the itinerary, route or content due to weather, road conditions or the circumstances of the venues we visit. Where we operate the experience with equivalent alternative content, no refund is due.

If we determine that safety cannot be assured (severe snowstorm, road closure, disaster, serious vehicle failure, etc.), or if we cannot operate for reasons attributable to us, we will notify you promptly. In that case you may choose either to reschedule or to receive a full refund (if rescheduling is not possible, we refund in full).

12.Liability

(1) Except where caused by reasons attributable to us, we are not liable for loss or damage suffered by you. The same applies to loss or damage arising from your own intent or negligence, from failure to follow safety instructions, or from the acts of third parties.

(2) Where we are liable for damages, and only where that liability arises from slight negligence (negligence other than gross negligence) on the part of us, our representatives or our employees, our total liability is limited to the amount you actually paid for the booking concerned.

(3) The limitation in the preceding paragraph does not apply where we, our representatives or our employees have acted with intent or gross negligence. Nothing in this Article excludes or limits our liability to any extent not permitted by the Consumer Contract Act or other applicable laws.

13.Personal information

We handle personal information in accordance with our Privacy Policy.

14.Governing law

These Terms are governed by and construed in accordance with the laws of Japan. However, if you are a consumer, this provision does not deprive you of the protection afforded by any mandatory provisions of the law of the country or region in which you are habitually resident that cannot be excluded by agreement.

15.Jurisdiction

For disputes relating to these Terms or our services: (1) if you are domiciled in Japan, the Sapporo District Court or the Sapporo Summary Court shall have exclusive jurisdiction as the court of first instance; (2) if you are domiciled outside Japan, the Sapporo District Court shall have non-exclusive (additional) jurisdiction as the court of first instance. This agreement does not prevent you from bringing proceedings in any court where you are permitted to do so by law.

16.Changes to these Terms

We may amend these Terms under Article 548-4 of the Civil Code of Japan where the amendment is in the general interest of our customers, or where the amendment does not conflict with the purpose of the contract and is reasonable in light of the necessity for the change, the appropriateness of the amended content and other relevant circumstances. When we amend these Terms, we will set an effective date and, as a rule at least 14 days before that date, give notice of the amendment, the amended content and the effective date by posting on our website or by other appropriate means. Amendments that are disadvantageous to you will not apply to bookings already made.

17.Language

The Japanese version of these Terms is the authoritative text. Where a translation is provided for reference and there is any discrepancy between the translation and the Japanese version, the Japanese version prevails.
